Job Opportunity: Executive Assistant at UFOA B (Union des Fédérations Ouest-Africaines de Football – Zone B)
The Union des Fédérations Ouest-Africaines de Football – Zone B (UFOA B) is seeking a highly organized and proactive Executive Assistant (Assistant(e) de Direction) to support the Executive Director.
This is an exciting opportunity for a detail-oriented professional to work in a dynamic environment that promotes football development across West Africa.
Key Responsibilities
1. Workflow Management
Manage the flow of incoming and outgoing documents, ensuring proper recording and tracking.
Verify that documents submitted for the Executive Director’s signature are complete and include necessary attachments.
Draft administrative correspondence and review outgoing communications for accuracy and compliance.
Prioritize and manage important correspondence and monitor deadlines.
Route documents and requests to the appropriate departments for follow-up.
2. Communication and Liaison
Act as the first point of contact for visitors and phone calls, handling inquiries with tact and discretion.
Screen calls and visitors, schedule appointments, and manage the Executive Director’s calendar.
Provide relevant information and documents to prepare the Executive Director for meetings.
Facilitate communication between the Executive Director, staff, and member associations.
Organize weekly and ad-hoc meetings, including setting dates, arranging venues, and coordinating necessary documents.

3. Records and Documentation Management
Maintain a well-organized filing system for both paper and electronic records.
Keep an updated weekly activity calendar, including meetings and external engagements.
Gather briefing notes and reference documents for events such as seminars and workshops.
Regularly update the contact directory of UFOA B’s partners and stakeholders.
4. Office Administration
Arrange travel logistics for the Executive Director, including flights, accommodation, and itineraries.
Assist in preparing presentations and reports using PowerPoint and other software tools.
Provide general administrative support, such as photocopying, handling emails, and maintaining office supplies.
Required Skills and Qualifications
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to manage multiple tasks and prioritize effectively.
Professional demeanor, discretion, and confidentiality in handling sensitive information.
Experience in administrative or executive support roles is preferred.
